Summary

The Sr. Commercial Contract Administration group supports the North American Sales Team in marketing and originating new and existing railcar sales and leases. The Senior Contract Administrator collaborates closely with sales operations colleagues and cross-functional internal teams to execute the RFQ process, submitting proposals for railcar sales, leases, and repair opportunities. This position will also support post-award activities, including working with the sales team and the legal department to finalize contracts.

Duties and Responsibilities

To perform this job successfully, an individual must be able to perform the following essential duties satisfactorily. Other duties may be assigned to address business needs and changing business practices.

  • Draft direct sale, lease, and repair proposals for new and existing railcars, in collaboration with the Sales and Leasing Teams.
  • Act as a liaison with other departments to gather supporting information, secure internal approvals, and meet customer RFQ requirements and deadlines.
  • Distribute internal support documentation for closed and amended transactions, ensuring a thorough understanding of each contract's business points.
  • Manage existing railcar transactions, including invoicing and issuing closing documents, in close coordination with the Leasing team.
  • Ensure accuracy and data quality in Salesforce and other internal systems to capture transaction details.
  • Take ownership of the RFP queue, managing due dates, and exercising independent judgment to meet customer requests.
  • Proactively identify and suggest improvements to enhance the Pre-Award RFP workflow and overall Sales Support activities.
  • Perform additional administrative tasks as needed and respond to internal inquiries following established procedures and guidelines.

Qualifications

Minimum Qualifications

  • 5-8 years of experience in a high-volume sales department or demonstrated professional knowledge of contracting and administration best practices.
  • Strong knowledge of legal and contracting terms, with the ability to identify and suggest ways to mitigate risk.
  • High degree of flexibility to respond to shifting priorities in a fast-paced, deadline-driven environment; maintain professionalism amid changes.
  • Exceptional time management skills, with the ability to prioritize tasks and solve problems effectively.
  • Excellent interpersonal skills to communicate effectively, verbally and in writing, with diverse personalities at all organizational levels.
  • Proficiency in MS Office applications, particularly Word and Outlook. Aptitude for learning new systems and applications. Experience with Salesforce.com and DocuSign is advantageous.

Preferred Qualifications

  • An undergraduate degree is preferred, with business-related coursework a plus. Equivalent related experience will be considered.
  • Knowledge of the rail industry, leasing, or manufacturing preferred; willingness to continuously expand knowledge of the rail industry and Greenbrier’s integrated business model is required.
